Coordinating Your Emirates ID and UAE Passport Applications: A Practical Guide for UAE Citizens

By Essa Al Harthi, Founder and CEO, Best Solution Business Setup Consultancy — a practical walkthrough for UAE nationals, and for the HR teams and consultants who support them through ICP services.

Every UAE citizen reaches a moment when two documents need attention at the same time. A passport is approaching its one-year expiry window. An Emirates ID renewal notification arrives. Life makes it easier to handle one, then deal with the other later which is exactly how an avoidable delay begins.

The ICP system the Federal Authority for Identity, Citizenship, Customs and Port Security is built to handle both documents through linked records. When you coordinate the applications, the system works with you. When you handle them in isolation, small mismatches between your Emirates ID record and your passport record can stall one while the other moves ahead. This is the logic behind the UAE passport and Emirates ID one-step process we walk clients through applying both together so the data aligns on the first pass rather than needing correction later. The difference is rarely about luck. It is about sequencing.

What follows is a practical walkthrough of how UAE citizens can apply for and renew both documents efficiently in 2026 with the real fees, real timelines, and the specific ICP programs that exist to make this easier. I have spent over a decade running a consultancy that processes residency and identity applications in the UAE, and I have watched the same three or four avoidable mistakes repeat themselves. This guide is written to prevent them.

Why Sequencing Your Applications Matters

Your Emirates ID and your passport are issued by the same authority. They draw on the same biometric record. When one is out of date and the other is not, some ICP services will flag the mismatch and pause your application for verification.

In practice, the most common version of this problem looks like this: a UAE citizen renews the passport first, because travel is imminent. The Emirates ID still has six or eight months of validity, so they put it aside. Two months later, they update a field on the Emirates ID — a phone number, a marital status, a new child added to the family record. The update routes to a verification queue because the passport number on file now differs from the newly issued passport. What should have taken minutes takes days.

The fix is simple. When both documents are within a year of needing attention, coordinate the applications. Handle the Emirates ID first if it is fully within the 30-day grace window, otherwise handle them in the same submission session. The data flows cleanly, the records stay aligned, and there is no second trip to correct a mismatch.

One Biometric Visit: What It Covers and What It Does Not

UAE citizens aged 15 and above register their fingerprint, iris scan, and digital signature on the Emirates ID record at an ICP Customer Happiness Centre. Once registered, that biometric record is reused across subsequent ICP services which is the mechanical basis for what some people call the unified flow.

Here is what that means in practice. If your Emirates ID biometric record is current and you are renewing your passport, you can submit the passport renewal online through the UAEICP app or the ICP portal without returning for a new biometric session. The system pulls your registered fingerprint and signature from the Emirates ID record. This is one of the most useful features of the ICP system, and it is also one of the most under-used.

What the single-visit approach does not cover: if your biometric record is outdated for example, you were last captured years ago and there has been a significant change in your appearance the ICP may request a new biometric session before proceeding. It is also not a substitute for in-person verification in cases that require it, such as a new passport for a newborn or a replacement for a lost document.

Processing Times and How to Track Your Application

Standard processing for a UAE national Emirates ID application is five to ten working days from the date of submission and verification. The Fawri urgent service available at ICP Customer Happiness Centres reduces this to 24 hours for an additional AED 150. For UAE nationals, the Fawri service is available for new applications, renewals, and replacements. Expats can access Fawri only for replacements of lost or damaged cards.

Passport processing timelines vary by service type first-time issuance, renewal, replacement but sit in a similar range for most routine cases. When a passport renewal is submitted online alongside a current Emirates ID, the turnaround is typically faster than when the two are handled in separate sessions.

Track your application through three channels: the UAEICP mobile app (iOS and Android), the Smart Services portal at smartservices.icp.gov.ae, or the ICP call centre at 600 522 222. New Emirates ID applications receive a PRAN number; renewals and replacements use your existing Emirates ID number. Status messages you will see include In Process, Printed, Dispatched, and Ready for Collection. If your card is printed and dispatched to Emirates Post but you do not collect it within 90 days, the card is returned to ICP and you will need to request re-dispatch which usually involves a re-issuance fee.

ICP Fees for Emirates ID and UAE Passport in 2026

The table below reflects currently published ICP fees for UAE nationals. Passport fees vary by service type and are confirmed on the ICP service page at the time of application.

ServiceFee (AED)
Emirates ID — UAE citizen under 21 (5-year validity)100
Emirates ID — UAE citizen 21 and above (10-year validity)200
Fawri urgent service (at ICP Customer Happiness Centres only)+150
Typing centre service fee+70
Smart services fee (online submissions)+100
Emirates ID replacement (lost or damaged)300 + service fees
Late renewal fine (after 30-day grace period)20 per day, capped at 1,000
UAE passport fee (by service and validity)Check current rate at icp.gov.ae

All fees are paid through ICP authorised channels the portal, the app, or approved typing centres. Pay attention to the typing-centre surcharge if you value in-person handling; you will see the AED 70 typing-centre fee appear on top of the standard ICP fee.

When to Renew Your Passport and Emirates ID Together

ICP allows UAE nationals to renew their Emirates ID between six and one month before expiry. For passports, the renewal service opens when remaining validity drops to one year or less. If both your documents fall within these windows in the same period which is common, because original issuance often pairs the two handle them in one submission session.

The specific program worth knowing is the Taqdeer initiative. Taqdeer is the ICP’s proactive renewal package for senior citizens and People of Determination receiving social support. Eligible citizens do not submit a renewal the ICP renews both the Emirates ID and the passport automatically under coordination with the Ministry of Community Empowerment. If someone in your family is eligible and has not been contacted, that is worth checking via the ICP call centre.

For everyone else, the practical rule is straightforward. If both documents are within their renewal windows, submit them together. The records update in sync, there is no later mismatch to fix, and you save at least one trip.

Original Documents UAE Citizens Need to Bring

The documents required depend on whether you are applying for new issuance, renewing, or replacing and on whether you are a first-time applicant or updating an existing record. For the most common scenarios involving UAE citizens, the core set is predictable.

Emirates ID renewal (UAE citizen)

• Valid UAE passport

• Existing Emirates ID card

• Family book (Khulasat al-Qaid)

• Recent photograph meeting ICP specifications if requested

Passport renewal (UAE citizen, inside the country)

• Existing passport

• Valid Emirates ID with registered fingerprint and signature (for applicants aged 15 and above)

• Recent photograph meeting ICAO standards

• Family book, if updating family details at the same time

New Emirates ID issuance (UAE citizen child under 15, or first-time applicant)

• Valid passport

• Birth certificate (for children under 15)

• Parent’s Emirates ID

• Recent photograph with white background

Photocopies and scanned versions are not accepted in place of originals at the submission stage. Digital verification runs alongside physical document checks at ICP Customer Happiness Centres, but the originals remain the primary verification record. If a required original is missing, the application is paused until it is presented.

Best Time to Submit Your Application

Processing speed depends on verification workload, not on a hidden calendar rule. That said, in our experience, applications submitted on a working day earlier in the week tend to clear verification faster than those submitted late on a Thursday or during busy service periods.

Two patterns are worth noting. First, the period immediately before and after a major public holiday usually sees slower verification times. Second, first-of-the-month submissions can stack up behind end-of-month renewals from the previous month, so mid-month submissions tend to move quickly.

None of this is a guarantee. The most reliable lever you can pull is application completeness missing photos, outdated phone numbers on the record, and mismatched family-book details are the most common reasons a clean submission still stalls.

Tracking Your Application After Submission

After submission, you receive a reference number. For new Emirates ID applications this is a PRAN; for renewals and replacements it is your existing 15-digit Emirates ID number. Passport applications receive their own reference number, typically shown on your ICP application receipt.

Track through the UAEICP app or the Smart Services portal. The statuses update at different times for different applications your Emirates ID may show Printed before your passport shows Dispatched, or vice versa. This is normal, not a sign of a problem. The two documents are produced on different logistical tracks and may be delivered on different days by Emirates Post.

If an application sits on the same status for longer than 72 hours after the published standard processing window, contact the ICP call centre at 600 522 222 with your reference number. Most stalls resolve with a single call. If you are outside the UAE during your renewal, the same channels apply, and the ICP offers specific services for citizens renewing while abroad.

For HR Teams and Consultants Supporting UAE Nationals

If you are handling ICP services on behalf of a UAE national colleague or client, a few things differ from the expat Emirates ID flow you may be more familiar with.

First, a UAE national Emirates ID is not tied to a residency visa. It is valid for either five years (under 21) or ten years (21 and over). This means the renewal cadence is less frequent than an expat’s, and it is easy for the deadline to slip past unnoticed. Set a calendar reminder at the six-month-before-expiry mark.

Second, UAE national passport renewals benefit from the existing Emirates ID biometric record, which means an in-person visit is often unnecessary. When advising a principal or senior colleague, submitting the passport renewal through the UAEICP app not through a typing centre saves a trip and AED 70 in typing-centre fees.

Third, the Taqdeer initiative applies to eligible seniors and People of Determination receiving social support. Confirm eligibility via ICP before assuming a family member is in the program. If they are eligible, they should not need a consultant’s help with renewals at all the ICP handles it proactively.

A Practical Summary and Next Step

The short version of this guide: coordinate. When your Emirates ID and passport are both within their renewal windows, submit them together and let the ICP’s linked records do their job. Use the UAEICP app where you can. Pay the AED 150 for Fawri only when the timeline genuinely demands it. And for senior family members who may be eligible for Taqdeer, confirm it they likely do not need to submit anything at all.

If your household or family office handles multiple renewals in parallel your own documents, a spouse’s, children’s, a parent’s the administration adds up, and it is easy for a date to slip. That is the point at which a PRO service saves both time and the small fines that follow late submissions. Best Solution’s team handles ICP services for UAE nationals and their families, including passport renewals, Emirates ID updates, and family-record amendments.
